IT Proposal Specialist

Join iPSS as a key member of our business development team where you will drive and manage the IT proposal process within iPSS.

iPSS inc. is a leading IT Security Solutions integrator located in the National Capital Region.  We are looking for an IT Proposal Specialist that will ensure the highest quality standards of all iPSS proposals.

The IT Proposal Specialist has the day-to-day responsibility of supporting the Sales team in the collaboration, preparation, execution and deployment of responses to both solicited and unsolicited proposals. This role is the main point of contact for the Sales team for proposal management, reviews requests for information (RFIs), requests for proposals (RFPs) and requests for quotes (RFQs).

Develops proposal plans and outlines, develops responsibility matrix and develops milestones and schedules. Organizes and guides the organization to respond to requirements accurately and on time.

The IT Proposal Specialist collaborates with team members to maintain accurate resource library with proposal-ready boilerplate content for use in future proposals.

Key Areas of Responsibility:

  • Responsible for comprehensiveness and optimization of RFP/RFI/RFQ responses
  • Prepares TA packages in response to requests through current procurement vehicles
  • Research and document optimal answers to RFP/RFI questions, and review draft and final content gathered from team members
  • Manages the proposal development process
    • Researches various search engines for opportunities suited to iPSS specialties on a daily basis; is the iPSS designated point of contact for such engines.
    • Reviews open requirements to determine appropriateness and identify any compliance gaps within opportunities;
    • Identify products and/or resources necessary to fulfill requirements; identify internal and external subject matter experts; recommends joint venture approaches where appropriate;
    • Drafts and submits questions with a view to ensuring compliancy or optimization of requirements;
    • Develop proposal timetable identifying all key stakeholders;
    • Template proposal and where possible leverage answers from proposal library/archive;
    • Coordinate input from stakeholders into various proposal elements; and
    • Format and complete the proposal, review and ensure independent quality assurance on all submissions
  • Responsible for updating and maintaining proposal “boilerplate” material for assigned products or subject areas of responsibility
  • Provides thought leadership to sales team as they seek to respond to customer RFI/RFP/RFQs.
  • Maintains effective communications with field regarding opportunities
  • Proactively expands, and applies knowledge in area of expertise, as well as knowledge concerning industry topics, technology trends, and field’s needs to compete.
  • Understands the major solutions and products available
  • Tracks information for accuracy and framing to demonstrate ability to support customer and prospect business needs
  • Maintains proposal log and follows up on outstanding proposals
  • Reviews proposal results; requests debriefs as required and maintains lessons learned database. Initiates improvements to the response process when required
  • Templates resumes to company standards
  • Liaising with the company CSO/ACSO for resource clearances
  • Expands on current procurement vehicle footprint
  • Develops more effective ways of networking with other IT product/service providers that can contribute to iPSS offerings

Job Requirements

Preferred qualifications:

  • 1-3 years’ previous proposal response experience in IT (IT products and/or professional services)
  • Microsoft Office with expert skill with Microsoft Word, Microsoft PowerPoint, and Microsoft Excel
  • Ability to hold and maintain a security clearance at the minimum level of Secret

Preferred Skills:

  • Knowledge and/or experience of Federal government procurement is a strong asset
  • Collaborative project management approach with the ability to communicate effectively
  • Flexible working in a fast-paced environment
  • Self-motivated with high level of organizational skill
  • Energetic, creative and driven with the ability to think outside the box
  • Strong verbal and written communication skills; ability to communicate verbally in French is an asset
  • Strong listening skills
  • Ability to self-manage priorities, and time manage multiple projects of varying level of complexity with minimal direction
